You have been invited from someone working in Swat.io to review and approve a post externally? This article explains exactly how that works. You do not need your own Swat.io account for this.
Access to the external review portal
You will receive an automatic email from Swat.io with a magic link to the external portal as soon as someone from the Swat.io workspace adds you as a reviewer and assigns the first post for approval to you. This link is valid for 7 days before opening. Clicking this link redirects you straight to the portal.
Note: Once you open the magic link, your session stays active for 30 days. After that, you will need a new link, which you can request again through the same email prompt.
How the external portal works
All posts you are asked to approve are appearing in the portal overview as soon as you click the link in the email. You will find the tabs "All", "Pending", "Approved" and "Rejected" there, each sorted by the next scheduled publishing date. Once a post's scheduled publishing date has passed, it automatically disappears from your overview, regardless of its status.
Click on a post to see a channel-accurate preview. For posts with multiple images or a video, you can switch between the media at any time. On the right side, you can also leave a note, which is also visible to the team working in Swat.io.
If you have been assigned the "Can approve" role in Swat.io, you can take the following actions:
Approve the post individually (click the corresponding button at the bottom of the detail view);
Manually set the post's final status to "Approved" or "Rejected" using the "Final status" dropdown at the top. This action is independent of the state of the outstanding individual approvals.
With the "Read-only" role, you have access to the same views, but the approval buttons are not shown. You can still leave comments at any time, which are saved in the external review portal's activity log and are also visible to the team working in Swat.io.
Note: An individual approval that has already been given cannot be undone. A post's final status, however, can be changed again at any time by anyone with approval rights in the portal.
Frequently asked questions for reviewers
Do I need to register? Where do I find my password?
No. It is enough that someone from the Swat.io team adds your email address as a reviewer. You only get access through the link in the email. No separate password is needed.
My link no longer works.
Magic links expire after 7 days. If you open an expired link, you are automatically prompted to enter your email address and receive a new magic link by email for logging in.
Is the post automatically published once the final status is set to "Approved"?
No. The final status is shown to the team, but publishing is always ultimately actioned by the team working in Swat.io themselves.
