Explanation

The tag-manager is the central location to manage all tags within your Swat.io workspace. Here you can create, edit, delete and merge tags. Additionally it is possible to restrict the manual tag-assignment by users.

Accessing the tag-manager

In order to navigate to our tag-manager, please follow the path below:

Note: In order to access the workspace settings, you need permissions as “Workspace Manager”. If you don’t have this permission, please contact your Swat.io administrator.

  1. Open the general Workspace-Settings by clicking on your account name in the lower-left corner.

  2. Click on the tab “Tags”.

Central functions of the tag-manager

Create tags

  • Enter the desired name into the input field and confirm with Enter.

  • The new tag will appear immediately in the list.

Edit tags

  • Click the pencil icon next to an existing tag.

  • Change the name and save.

Delete tags

  • Click the trash icon to delete a tag.

  • This is only possible if the tag is not currently in use.

Note: If a tag is used in posts, tickets or with specific users, it first needs to be removed from these before it can be deleted.

Merge tags

Use our functionality to merge tags to manage duplicates or very similar tags:

  • Select a tag using the options-button (...);

  • Click "merge";

  • Select the second tag to merge it into;

  • Confirm the action.

Predefined tags

If this setting is enabled, tags can no longer be created or managed outside of the tag-manager. This allows you to ensure that tag management is handled only by team members with sufficient permissions.

Important: If manual tag creation is disabled, users can only choose from the centrally managed tags.

Team members who are not workspace-managers are still able to assign and remove existing tags from posts, tickets and users.
