Workspace-Settings

In the workspace settings, you manage all settings applied to the currently selected workspace. Access is available to workspace managers and Swat.io admins.

Swat.io access rights

Swat.io has different roles with different levels of access to settings.

User

As user without additional workspace manager or admin permissions, you do not have access to the workspace settings. You can only work in the areas assigned to you, such as Inbox, Publisher or Insights.

If you need access to the workspace settings, please contact a workspace manager or a Swat.io admin in your organization.

Workspace Manager

As a workspace manager, you have access to the workspace settings of the respective workspace. Here you can manage channels, members, integrations, automations and templates (see below).

Within your workspace, you can also appoint other users as workspace managers for that specific workspace. However, you do not have access to organization-wide settings and cannot assign admin roles.

Swat.io Admin

As a Swat.io admin, you have access to settings affecting the entire organization. Here you manage organization-wide settings and roles.

As a Swat.io admin, you can appoint users as workspace managers and Swat.io admins. You can also grant yourself access to any workspace at any time.

Open workspace settings

  1. Open the settings by clicking your username in the bottom left corner and select "settings" from the menu.

  2. If you have the required permissions in Swat.io, you will see the workspace section in the left menu:

Menu items & features

General

In this section you can define basic settings of your workspace such as the workspace name and other configuration details. If equipped with Swat.io admin rights, you can also delete the respective workspace in this section.

This section provides an overview of all connected social media channels. You can add new channels, re-authenticate existing connections or remove them if needed.

You will also find channel-specific settings for Publisher and Inbox here. In the Publisher settings, you can define posting options and other channel-specific publishing details. In the Inbox channel settings, you can manage how messages are synchronized and how individual channels behave within Swat.io Inbox.

Here, you'll see an overview of all users in the selected workspace. You can add new users, remove existing ones and adjust user roles and permissions individually.

In our Large and Custom plans, you can group members into teams and manage user roles collectively. This helps you organize collaboration within your workspace more efficiently.

Integrations

Starting from the Medium plan, you can connect external tools and additional features to your workspace and manage them here:

  • URL Shortener

    The URL shortener is based on Bitly and allows you to shorten links in Publisher.

    If you connect your own Bitly account, the created short links will be linked directly to your Bitly account and can also be tracked there. If no Bitly account is connected, you can of course still use the URL shortener. In this case, the shortened links and it's statistics will only be available within Swat.io.

  • The Canva integration allows you to import designs directly into the Publisher and use them for future posts.

Starting from the Medium plan, you can use tags to structure content and conversations to ensure consistent categorization. In our tag-manager, you can create, edit and manage these centralized.

Automations help you standardize recurring processes in our Inbox. You can define rules based on keywords or sentiments that trigger specific actions automatically and help reduce manual work.

With Inbox templates (presets), you can create predefined responses for recurring situations and ensure consistent and efficient communication within your team.

Publisher templates

Publisher templates allow you to create templates for recurring posts and help you plan content more efficiently. You can also use these to predefine hashtag-groups, manage these centralized and quickly insert these into your posts.

Here, you can define a custom deletion interval for tickets in accordance with GDPR. Once this feature is activated, tickets will be automatically and permanently deleted after a defined period.

Deleting an entire workspace

Deleting an entire workspace is only possible for Swat.io admins in the general workspace settings. If you have the required permissions as Swat.io admin, the button “Delete this workspace” will appear in the general workspace settings. Clicking this button will permanently delete the entire workspace, including all its content.

Important: This action cannot be undone. Once deleted, the workspace and all associated data cannot be recovered.
