Here you'll find out how to change your Swat.io plan to a smaller option or reduce added channels, users and workspaces in the "Large" plan. All changes can be made directly in the Administration Settings under "Billing" or "License".
Please note that changes take effect immediately and not at the end of the billing period. We therefore recommend carrying out the downgrade on the last day of your current billing period.
Info: The changes described in this article can only be carried out by Swat.io users with admin permissions.
Downgrading your Swat.io plan
If you want to switch to a smaller plan, you can do this in the administration settings under "License".
Downgrading the plan size: In the administration settings, go to the "License" section. Click on the desired new plan and confirm the change.
Inbox add-on: If you have opted for the Inbox add-on, it will automatically adjust to the new downgraded plan - with the newly updated channel-, user- and workspace-limits as well as the new price.
Feature differences: Please note that the plans differ not only in the number of channels, workspaces and users, but fundamentally in the included feature sets. A full overview can be found in the pricing overview.
Important: Changes take effect immediately upon confirmation and cannot be undone. Also note that a downgrade can result in significant data loss due to the different data retention periods per plan (Small: 1 year, Medium: 2 years, Large: unlimited). Data outside the future retention period is irreversibly lost.
Simultaneous change of plan and billing cycle
If you want to change both your plan and your billing period, please carry out these steps one after the other - not simultaneously. Otherwise, billing overlaps may occur, as the system will process both changes independently. This can lead to old and new billing periods overlapping, with a certain period being charged twice. We recommend completing the plan change first, then switching the billing period.
Downgrading channels, users and workspaces
If you want to reduce booked channels, users or workspaces in the "Large" plan, you can do this under "Billing" by clicking "Manage" in the usage overview.
Important: Before carrying out the downgrade, you must first reduce the number of channels, users, and workspaces in your organization to the number included in the new plan.
Removing elements: Use the "–" symbol to remove individual items. The minimum number defined in the "Large" plan will always remain.
Confirming changes: Click "Continue" to review and confirm the price change and the newly defined feature scope.
Common issues and solutions
The license seat is not freed after removing a user from a workspace?
Note, that a user must be removed at organization level - not just from an individual workspace. Only then will the license seat actually be freed up.

Removing the Inbox Add-On
If you want to remove the Inbox add-on from your plan, you can do this directly in the "License" section:
Cancel Inbox: Click "License" and deselect the Inbox Add-On.
Confirm cancellation: A further window will open where you can review and confirm the price change.
Important: Changes take effect immediately. We therefore recommend carrying out this step on the last day of your current billing period. Reduced costs will only be reflected in the next invoice.
